How to Create a New Maintenance Change Request

Change requests can be created to make changes to an approved project or Transfer funds between Approved projects or both

To create a change request, select the Change Requests option for the project:

Select Fiscal Year

Once you are in the Scheduled Maintenance Change Request Page, select the Fiscal Year(start) of the Project for which you need a Change Request and select Add Change Request option

Complete Change Request Details

 

Change Request Title 

Use a short title that summarizes the Change Request as a whole

Change Request Type

Select a Change Request Type based on the change you need in the approved project 

  • Transfer funds
  • Other(local funds, scope, distribution)
  • Both(Transfer funds and Other)

Change Request Description

Provide a description that gives additional detailed information about why the change is needed in the approved project

Select Source Projects

Select the Select option under Source Projects

You can select one or additional Source Projects for the Change Request from the list of Projects in the pop-up and select Save

Funds to be Transferred

Provide the fund amount (if applicable) that needs to be transferred from the Approved Amount of the Source Project. 

Final Amount will be calculated and displayed based on the Approved amount and Funds to be transferred values

Local Fund Updates

Provide Local fund amount, if you want to change the Local Fund of the Source Project

Scope

Provide the updated scope for the Project, if you want to make changes to the scope of the Source Project

Target Project

You can add a Target Project (if applicable) for the Change Request 

To add a Target Project:

  • You can select an Existing Project  (OR)
  • Add a New Project

To select an existing project as Target Project, select Select option under Target Project

You can select a Target Project for the Change Request from the list of Projects in the pop-up and select  Save

To add a new project as Target Project, select Add option under Target Project

Complete the new project details in the Project Detail pop-up and select Save

Proposed Funds for the Target Project will be calculated and displayed based on the funds to be transferred from Source Projects

Delete Source Projects

While creating a new change request, you can delete the Source Projects by selecting the DELETE icon for each source project in the Actions column

Create Change Request

After completing the Change Request details, select the Create option on the top of Change Request Details screen.

New Change Request will be created with status 'In Progress

Submit Change Request

After you create the Change Request providing all the details about the changes required, select Submit option in the Change Request section

This will move the change request to the Submitted status for review by an FPU Admin:
