How to Submit a Maintenance Project

Scheduled Maintenance tab > Add Project

Project Title and Category

In the Project Title section of the New Project screen, provide a project Title and Category

Title - use a short title that summarizes the project as a whole.

Category - select the project category 

Project Information

Need & Scope

Provide the Need & Scope of the project that gives additional detailed information about the Need for the project and its Scope

Project Manager

Provide the name of Project Manager

Phone Number

Provide a Phone Number

Project Type

Select the Project Type that relates to the project:

  • Exterior
  • Mechanical
  • Other
  • Roof
  • Utility

Adverse Effect

Select the adverse effect that relates to the project:

  • Campus/Facility Closure
  • Disruption of Program(s)
  • Potential/Future Damage/Cost
  • Greater Future Damage/Costs
  • Inconvenience
  • Safety Hazard
  • Code Violation

Problem Years

Select problem years for the project:

  • 0 yrs
  • 6 mo - 1yrs
  • 1-2 yrs
  • 2-5 yrs
  • Always

Corrective Method

  • Select the Corrective Method that relates to the project:
  • Repair/Refinish Existing
  • Replace s/comparable Unit
  • Upgrade
  • Other

Project Funding

In this section, you will select the type of project (PFP, Local or Planned) and provide the Project Funding details 

Project Funding Proposal (PFP)

Select or unselect the Project Funding Proposal (PFP) checkbox for the project

State Funds

Provide State Funds for the project

Local Funds

Provide Local Funds for the project

Local Only (not reported to FPU)

Select Local Only checkbox if the project is local and not reported to FPU

Note:  Project Funding Proposal(PFP) checkbox will be unselected and State Funds field will be disabled if the project is Local Only 

Project Total and Remaining Funds

Project Total and Remaining Funds will be calculated based on the State Funds and Local Funds values provided

Funding Breakdown

In this section, you will provide the Funding Breakdown for the project in percentage and the total Funding Breakdown percentage should be 100%.

The amount corresponding to the percentage provided will be calculated and displayed on the right end for Permit and Fees, Construction Costs, Inspection and Contingency

Permit and Fees

Provide the funding breakdown value in percentage for Permit and Fees (not greater than 11%). 

Construction Costs

Provide the funding breakdown value in percentage for Construction Costs

Inspection

Provide the funding breakdown value in percentage for Inspection

Contingency

Provide the funding breakdown value in percentage for Contingency (not greater than 7%)

Total

Total will display the total percentage(100%) and the total amount

Location Details

Campus(es)

Campus will be district-wide by default if not provided or you can select one or additional campuses involved in the project

Building(s)

Building will be campus-wide by default if not provided or you can select one or additional buildings involved in the project. The details of the selected buildings will be displayed as a table below the dropdown

Save Project

Once you have completed all required fields on this screen, you can select the Save option at the top of the screen:
